Team Members, Billing, and Legal
Section titled “Team Members, Billing, and Legal”How do I invite team members / collaborators to my instance?

Click your instance button top left → Team Members →
Invite Member- Add email, name and role.
- Role Definitions:
Owner
- Can invite other team members
- Can change permissions of other members
- Can remove team members
- Can view everything within a game project
Collaborator
- Cannot invite team members
- Cannot change permissions of other team members or remove them
- Can view/access everything within a game project
Developer
- Cannot invite team members
- Cannot change permissions of other team members or remove them
- Can view/access everything within a game project
- Can create API keys for integrations.
Support
- Can’t access/edit any of the configuration pages in the admin dashboard like flows and integrations
- Can be assigned access to specific tabs like Creators, etc.
Where can I view my billing details or go through the self checkout process?
- Click your instance top left → Billing
Where can I accept or view the platform’s terms of service?
- Click your instance top left → Legal → accept or view terms of service

Getting Started
Section titled “Getting Started”How should I get started / what should I start with?
- We recommend starting off with reviewing our Basic Setup docs. This will help you connect Discord, add your unique branding, and link your Steam App ID.
- The Recipes feature is also available, which provides step by step guides on setting up key features for running your playtests on FirstLook.
Players
Section titled “Players”Where do I see the questions I asked in my sign-up form or onboarding form?
- Click on an individual player’s profile and you’ll find the answers to your questions on the bottom left, typically under the Steam information block.
- Using the export function will also give you a .csv file with columns for each of your questions and answers inside of each respective player’s row.
- This information is also displayed as
Player Attributesin Analytics.
How do I filter players by the answers they gave during pre-screening?
You can filter the player dashboard for these questions +Add Filter → Questions
Can you use AND / OR operators to filter players?
- Yes you can! This can be done from the
+Add Groupfilter in the Players tab. See more here
Why is the Steam playtime or Steam Wishlist status for my players not appearing?
- Ensure the Steam integration is properly configured: WebApi Key & Steam Store App ID: https://app.firstlook.gg/manage/*/config/steam
- If a players Steam is set to private, this playtime data isn’t tracked.
Why can’t I see a player’s PlayStation, Xbox, Epic ID, Custom platform ID/account info as a column on the dashboard?
- FirstLook does not currently expose this info as part of the player dashboard, but can still be found under a player’s individual account and also as part of your .csv export.
How do I add an existing database / list of player contacts that I have to FirstLook?
- Using the import button found on the top right of the player dashboard allows studios to import existing players to FirstLook.
- At a minimum the .csv file needs email addresses + first row should be column names
- Other fields like names, already distributed redeemables/codes, tags, and so on can be imported as well and be mapped to the player’s profile on FirstLook
- Studios can choose to invite and notify players via email as part of this import flow or it can be skipped and done later
- Note: players that are imported are automatically given the “waitlist” status, essentially skipping the sign-up portion of a flow, but still need to be invited by the studio
How do I handle player data removal requests through the player dashboard?
- Filter / search for the player in question, access their profile, and use the trash can icon on the top right to delete the player and their data. You can choose to wipe their data immediately or in 30 days.
- There are different options available to the studio for what to do with the player’s discord membership in their server
A player linked the wrong steam, discord account, email address, etc. How do I go about letting them change it?
- Access the player’s profile through the dashboard and use the Unlink option to remove the account from the player. The player can then go back to their FirstLook dashboard via account settings and connect the correct account.
- To edit a player’s email address use the Edit button found on the top left and hit save at the bottom
I need a copy of Steam session data per player
- Studios can get this themselves by going to https://app.firstlook.gg/manage/*/tools
- (replace * with the name of the studio)
- This link is NOT exposed anywhere and is only accessible by typing in the URL
Flows & Roles
Section titled “Flows & Roles”How do I preview what players are seeing when they sign-up and onboard?
- In the top right hand corner of the screen you can toggle on
Show Preview. This will open up a preview tab in the bottom left hand corner which can be expanded. It’s updated in realtime so you can visualise the changes you’re making.
Why are players not being added to our Discord server when they connect their Discord account?
- In either the Waitlist or Complete stage, you need to toggle on
Automatically add players if they connected their Discord Account.
What’s the difference between referrals and invites?
- Referrals will direct players to the sign up stage
- Invites will direct players to the Invite stage
How do we start onboarding players without having keys available? How do we update these players with the necessary keys once they become available?
- Remove Steam Key from desired flow
- Send out invites so you can start onboarding people and getting them through NDA/Discord
- Once you have keys available, add Steam Key back to your flow.
- Once players go back to their dashboard, the key will automatically be added. You could even send out an update using our announcements feature to let them know it’s ready.
We have keys ready and want to start onboarding players, but aren’t ready for them to access the build yet. How do I manage this?
- You’re able to hide keys from the players dashboard until you’re ready. Simple toggle on/off to hide/unhide - https://docs.firstlook.gg/access/keys/#hide-keys-from-players
When invites are enabled, are the players invited also given the same number of invites?
- Yes. Assign new role with invites toggled off to stop this from happening.
Can you localise flows?
- Yes. We currently support multiple languages which can be found in
Settingsin the Flow you’re interested in localising. - The content you add will need to be localised by you.
Branding
Section titled “Branding”What are the recommended dimensions for logo/images?
Most formats are supported, but we recommend using PNG or SVG files for the best quality.
- Logo: 600x240px
- Key Art: 1920x1080px
- Email Header: 460px wide (your main Capsule image for Steam works great)
Survey
Section titled “Survey”Can you use both Web and Discord surveys?
- Yes. Players can fill out both, so we do recommend using one or the other.
Can you filter players by survey responses?
- Yes. From the Players tab select
+Add Filter→Surveys
Can players submit more than 1 survey response?
- Yes. If a player resubmits a survey within an hour, it will edit the same response. If they submit it after that time has elapsed, a new entry is created.
Can you delete survey responses?
- Yes. Click on the three little dots next to any response to delete.
Can you edit a survey once it’s live?
- Yes. Go to the survey in question and click
Editin the top right hand corner. This will only affect new responses.
Discord

Can you integrate FirstLook with an existing Discord server?
- Yes. You can integrate our FirstLook bot with new or existing Discord servers.
When the FirstLook bot is integrated, how much historical data does it access?
- By default it’s 30 days. This can be increased should you need to, so please get in touch if so.
Why am I not seeing my Discord roles in FirstLook?
- You need to make sure the FirstLook bot is positioned above any Discord roles you wish to assign, in the Roles section of your Discord server.
Sentiment
Section titled “Sentiment”How long does it take for sentiment to start tracking?
- Data is synced every few hours.
How much historical data is used?
- By default we sync data from 3-months prior to you syncing your Discord channels.
